Provide administrative support to the Space and Missile Systems Center (SMC) Remote Sensing Systems Directorate (RS) RS Operations Support Division (RSC) at Buckley AFB, CO
Bachelor degree, 8 years Space SPO experience can be substituted for Bachelor degree
Have 10 years direct relevant experience, and 6 years administrative support experience
Have the ability to communicate both orally and in writing with clarity and accuracy
Candidate must be able to obtain, and maintain, the proper personnel clearance (Secret) required for this position
Collect and consolidate briefing charts for the weekly Directorate Staff Meeting into a single presentation; distribute consolidated presentation to attendees in advance of the meeting; facilitate and administer the meetings to assure presentations fit within the time allotted; develop, distribute, obtain approval, and publish/archive meeting minutes; and document, distribute, track to closure, and archive action items. Create, deliver, and generate briefings, reports, correspondence, and /or files in direct support of programs.
Functions will include Director and Deputy Director’s schedule maintenance, briefing development support, travel management, answer/coordinate calls, forward messages, schedule meetings and conferences including those involving staff from outside the immediate office, reserving rooms for meetings; provide responses to routine queries, and coordinating signatures process support. Prepare, track, and file reports and various program office documents.
Within the Remote Sensing Systems Directorate electronic data environment (LiveLink, Sharepoint, or equivalent), the Contractor shall collect, store, and maintain action items; internal point papers, studies, and briefings presented to the Systems Program Office (SPO) Director. Develop and maintain computer based filing systems.
Develop and provide newcomer training to include process framework and coordinating with appropriate subject matter experts.
create, consolidate, and distribute Division program status documentation and metrics as required.
Facilitate Division’s management, staff meeting logistics, HR suspenses, awards and recognition, strategic planning off-sites, outreach meetings to develop/establish effective relationships with Division OPIR Stakeholders.
Collect and document requirements for accountable and non-accountable supplies and equipment; process requisitions; maintain stores of accountable and non-accountable supplies and equipment; and conduct inventories.
Prepare reports, papers and briefings; prepare correspondence; maintain appointment calendars and conference room schedules, schedule meetings and conferences including those involving staff from outside the immediate office; answer telephones, forward messages, and provide responses to routine queries; act as Travel Clerk and perform Defense Travel System functions on behalf of travelers IAW the Defense Travel Administrator’s Manual; assist in coordinating, consolidating, analyzing, distributing and monitoring action items, suspenses and responses; provide inputs and recommendations regarding administrative and office management processes and procedures; and prepare agendas, reports and briefings for staff meetings.
Implement and maintain Division-approved processes to receive, disseminate, coordinate, track, and respond to external tasks. Assess each request for technical/administrative content and applicability, identify and coordinate with the appropriate leads, and establish timelines to ensure an accurate and timely response to address each area in question.
