    MAR Division of Oasis Systems has an exciting opportunity for an Administrative Assistant/Purchaser. who will assist the MAR Maritime Operations group and the MAR California office in Ventura, CA.  This person will report to the Program Manager of the M/V Independence contract.This is a temporary assignment and the start date will be May 24th,2018. This is a 6 months postion (3 months full-time and 3 months part-time). 

    LOCATION: Ventura, CA
    EXPERIENCE LEVEL: 2-3 years of experience

    EDUCATION: Associate degree preferred


    JOB STATUS: Full Time - Temporary



    RESPONSIBILITIES: Functionally, the successful candidate will the following administrative tasks:

    • Main point of contact for all visitors, answer two phone lines, distribute mail, manage deliveries, file, fax, copy, maintain office equipment and order office and break room supplies as needed
    • Assist Program Administrator to complete admin tasks for 10 person office
    • Send meeting requests and prepare and distribute action items for projects as directed
    • Utilize Word, Excel and Outlook for word-processing, emailing and data entry
    • Coordinate travel for ship’s crew members including airline and shuttle purchases
    • Maintain active employees master spreadsheet; maintain a file with all crew documents and certifications
    • Update / maintain conference room calendar
    • Prepare and send Fed Ex packages as needed
    • Prepare purchase requisitions and/or charter agreements, prepare payment vouchers for invoices
    • Pay invoices on credit card and prepare monthly credit card activity reports and vouchers
    • Prepare / submit vouchers for office and ship petty cash accounts
    • Maintain files for every purchasing transaction
    • Send request for quote emails for orders as needed
    • Prepare and submit ship budgets for each delivery order to program manager
    • Prepare and submit labor reports to program manager
    • Update purchasing logs daily
    • Prepare and submit task open forms and budget spreadsheet for all new delivery orders to program manager

     QUALIFICATIONS: This candidate must have experience with the following:

    • Purchasing
    • Word, Excel and Outlook
    • Data entry


    • Associate Degree or 2-3 years of experience as a purchaser and administrative assistant
